You can close your account or move to another provider at any time. This page sets out the steps, the data you can take with you, its formats, and what it costs. It is the list of formats that Section 13A(e) of our Terms of Service refers to, and we update it whenever an export changes.
How to leave or switch provider
Email support@passportcraft.com and tell us which of these you want:
- to switch to another provider (name it, if it needs access from us);
- to move your data to your own systems;
- to have your data erased.
Then:
- We confirm your notice within ten working days. If your email does not say which you want, we ask you within ten working days, and the notice period then lasts until at least ten working days after we ask. If you have not answered by the end of the notice period, we treat your notice as a request for erasure.
- Notice period. Your agreement continues for one month after we receive your notice, or longer if you ask, up to two months. If you end it for a reason listed in Section 13A(b) of our Terms of Service, such as our breach or a change you object to, you may choose a shorter period. Your notice stops your plan from renewing.
- Switching period. If you switch or move your data, you then have up to 30 calendar days to do it, and you can extend this once. Your plan keeps working, and we help you and the provider you name. If 30 days is not technically possible, we tell you why within 14 working days and give you a period of up to seven months.
- Retrieval period. When your agreement ends, you have 30 more days to retrieve your data. Your published passports stay online until then. We remind you seven days before they go offline.
- Erasure. When the retrieval period ends, we unpublish your passports and erase your data from our active systems within 30 days. Copies in encrypted backups are erased within a further 90 days.
If you choose erasure, your agreement ends when the notice period ends, and steps 4 and 5 follow.
To keep your published passports online, keep your account on the Free plan instead of closing it.

Each QR code follows the QR Code standard (ISO/IEC 18004). Where a passport has a GTIN, its QR code holds a GS1 Digital Link address.

The API is described in our API reference. It needs a live API key, which the Pro and Scale plans provide outside a free trial. On other plans, and during a trial, you can get the same data on request.
On request, on every plan
- translations of your passports;
- passport history;
- values of your custom fields;
- the values drawn from your uploaded files, and the records of that extraction;
- complete France filing records;
- workspace settings, including manufacturer defaults and the EU responsible person;
- your brand-domain setup;
- users and roles;
- all your original files at once.
To request any of these, email support@passportcraft.com from the address of an owner or administrator of the workspace. We send the data as JSON within 20 working days. If you are leaving to switch provider or to move your data, your notice counts as a request for all of it, and we send it before your switching period ends.
Known limits
- The exports in Settings → Data Export cover draft and published passports only. They leave out sizes and colours, translations, passport history and custom-field values.
- Original files download one at a time in the app. All of them at once is on request.
- The QR code export in Settings → Data Export holds at most 10 passports on the Free plan.
- One scan statistics export holds at most 100,000 scans. For more, export a shorter period or one passport at a time.
- The API needs the Pro or Scale plan, outside a free trial.
- We do not export our templates, scoring logic, AI instructions or credentials, such as API keys and passwords. They are trade secrets or would put security at risk.
What it costs
Switching provider, exporting your data, transferring it and our help while you switch are free. Your plan keeps running at its usual price until your agreement ends. If your agreement ends before a 12-month plan term ends, an early termination fee can apply. Section 13A(g) of our Terms of Service sets out the fee and when it does not apply.
