Plans and publish limits

The four plans
| Plan | Published passports | Team seats |
|---|---|---|
| Free | 5 | 1 |
| Starter | 50 | 3 |
| Pro | 500 | 10 |
| Scale | 2,000 | Unlimited |
Prices are in euros, with a monthly/yearly toggle — yearly billing works out cheaper per month. For current prices, open the plan comparison in Settings → Billing, which always shows what each plan costs for your billing interval. Paid plans also unlock white-label branding: the option in Settings → Brand to remove "Powered by PassportCraft" from your public passport pages (Free plans always show it).
What a publish limit counts
The limit counts published passports only — passports that are live at a public URL with an active QR code:
- Drafts are unlimited on every plan. You can import thousands of products and keep them as drafts indefinitely; only publishing consumes a slot.
- Unpublishing frees a slot immediately. The slot isn't held for any period — the moment a passport returns to draft, you can publish another.
- Reaching the limit doesn't touch anything already live. Publishing one more shows a "Publish limit reached" dialog; everything published stays published.
The difference between the two states is covered in Drafts vs published passports.
The AI usage allowance
AI suggestions are metered per organization with the same allowance on every plan: 100 generations in any rolling 24-hour window, shared by all team members. Two features draw from it — the green claim rewriter and the care symbol suggester. The Explain what's missing guidance doesn't count, because it isn't AI-generated. Upgrading your plan changes your publish limit and seats, not this allowance.
The 14-day Pro trial
Every new organization starts on a 14-day Pro trial — Pro limits (500 published passports) are active immediately, no credit card required. A banner in the app counts down the remaining days.
When the trial ends, your organization moves to the Free plan. Nothing is deleted: drafts and data stay exactly as they are, and passports you published during the trial stay live — you just can't publish new ones while you're over the Free plan's limit of 5. You can pick a paid plan at any time, before or after the trial ends; the flow is covered in Upgrading, downgrading, and the grace period.
Where to see your usage
Settings → Billing is the home for everything plan-related:
- Your current plan, its renewal date, and status badges (trial days remaining, scheduled changes).
- A Published passports meter — how many of your publish slots are in use.
- A Team seats meter — members against your plan's seat count.
- The plan comparison with current prices and an Upgrade button on each higher plan.

You'll also see usage without opening Settings: the Passports page shows a publish-slot indicator, and when you pass 80% of your limit a banner appears across the app telling you exactly how many slots remain.
Who can see and change the plan
Everyone except viewers can open the Billing page, but only owners and admins can upgrade, downgrade, or manage the subscription. Roles are explained in Organization settings and team roles.
Frequently asked questions
Do drafts count against my publish limit?
No. The limit counts published passports only — drafts are unlimited on every plan. You can prepare your entire catalogue as drafts and publish selectively, and unpublishing a passport frees its slot immediately.
Do higher plans get a bigger AI allowance?
No. The AI usage allowance is the same on every plan: 100 generations per organization in any rolling 24-hour window, shared between the claim rewriter and the care symbol suggester. Plans differ in publish limits and team seats, not AI usage.
What happens when I reach my publish limit?
Publishing another passport shows a 'Publish limit reached' dialog. Everything already published stays live. To free a slot, unpublish a passport you no longer need, or upgrade in Settings → Billing.
